Privacy Policy
In this policy, "we" and "us" mean the people who run Gig Nite. This policy explains what information Gig Nite collects, how we use it, and the choices you have. Effective date: October 12, 2026.
Gig Nite is a tool for freelancers in the entertainment and event industry (DJs, photographers, videographers, and similar) to track gigs, income, expenses, invoices, and mileage.
The short version
- We collect only what's needed to run the app: your account email, the business information you enter, and (only if you choose) Google Calendar access.
- We do not sell your data, run ads, or share it with data brokers.
- We never ask for, and you should never enter, your Social Security number or EIN.
- You can export your data at any time and ask us to delete your account.
Information we collect
Account information. When you sign in with Google, we receive your Google account email address and a unique Google account ID. We use these to create and recognize your account. We do not receive your Google password.
Information you enter. Everything you put into the app, including:
- Gigs: names, dates, times, venues, client or couple names, booker/agency names, notes, and mileage.
- Money records: income and expense amounts, categories, dates, payment methods, who a payment was made to or received from, and notes.
- Invoices: invoice numbers, line items, "bill to" details, and the date and method an invoice was sent.
- Business profile: business name, your name, email, phone, address, payment instructions, and your mileage rate.
- Paperwork tracking: whether a W-9 was given to a payer, and the date. We track only the paperwork trail, never the tax ID number itself.
- Feedback you send us through the app.
Some of this information describes other people (for example, a client's name). You are responsible for having the right to enter it.
Google Calendar (optional). If you choose to connect Google Calendar, we receive an access token and a refresh token for your account, plus the email of the connected account. See "Google Calendar" below for exactly how that data is used.
Usage information. We record the last time you opened the app (updated at most once an hour), so we can see whether the service is being used and help with support. We don't track which pages you view.
Technical information. Our hosting providers automatically log basic technical data such as IP address, browser type, and request times for security and reliability. We use a small number of cookies: one to keep you signed in, and short-lived ones used during the Google sign-in process. We do not use advertising or tracking cookies, and we do not currently use third-party analytics.
How we use information
- To provide the app: store and display your gigs, money records, invoices, and reports.
- To sync with Google Calendar, if you turn that on.
- To keep the service secure, prevent abuse, and fix problems.
- To respond to your support requests and feedback.
- To meet legal obligations.
We do not use your data for advertising, and we do not use it to train AI or machine-learning models.
Google Calendar
Connecting Google Calendar is optional and can be turned off at any time in Settings. If you connect it:
- What we read: events on your calendar, so the app can show your availability next to your gigs and warn you about scheduling conflicts. Calendar events are fetched when you load a page and are not stored in our database.
- What we write: gigs you save in Gig Nite are created and updated as events on your calendar, and deleted from it if you delete the gig. If you add "Always invite" emails in Settings, those people are added as guests on new gig events, and Google emails them an invitation.
- What we store: the access and refresh tokens needed to talk to Google on your behalf, the connected account's email, and any "Always invite" email addresses you enter.
Gig Nite's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Google user data only to provide the calendar features described above. We do not sell it, use it for advertising, or allow humans to read it except with your consent, to investigate abuse or security issues, to comply with law, or where it's aggregated and anonymized.
You can disconnect at any time in Settings → Google Calendar sync, and you can revoke access entirely at myaccount.google.com/permissions. Disconnecting deletes the stored tokens; events already created on your calendar remain there.
Who we share information with
We share information only with service providers who help us run Gig Nite, and only as needed:
- Vercel: application hosting (United States).
- Neon: database hosting, on Amazon Web Services in the United States. Data is encrypted at rest.
- Google: sign-in and, if you opt in, Calendar.
We may also disclose information if required by law or legal process, or to protect the rights, safety, or security of our users or the service. If we are ever involved in a merger or sale, we will tell you before your information is transferred to a different privacy policy.
We do not sell or rent personal information.
How long we keep information
We keep your information while your account is active. When you delete your account, your data is removed from our live systems immediately, and it ages out of encrypted backups within 30 days. We may keep limited records longer where the law requires it.
Your choices and rights
- Access and export: you can export your data as a CSV from the Reports section at any time.
- Correction: you can edit or delete any record in the app.
- Deletion: you can delete your account and all of its data yourself in Settings → Account → Delete account, or email gignitehelp@gmail.com and we'll do it for you.
- Google Calendar: disconnect in Settings, or revoke access in your Google account.
Depending on where you live (for example, California or Texas), you may have additional rights, such as to know what we hold about you, to correct or delete it, and to opt out of sale or targeted advertising (which we don't do). To exercise any right, email gignitehelp@gmail.com. We will not discriminate against you for doing so.
Security
We use industry-standard protections, including encrypted connections (HTTPS), encryption of stored data at rest, signed session cookies, and per-account data isolation. No system is perfectly secure, and we cannot guarantee absolute security. Please do not enter Social Security numbers, EINs, bank account numbers, or card numbers anywhere in the app.
Children
Gig Nite is for business use by adults. It is not directed to anyone under 18, and we do not knowingly collect information from children.
Changes to this policy
If we make material changes, we will update the effective date above and notify you in the app or by email before the changes take effect.
